Once you’ve secured the listing, it’s time to pass on the paperwork to us. We’ll help prepare your listing to launch on the MLS and handle all the administrative work.

FULL SERVICE
TRANSACTION COORDINATION PACKAGE

INTAKE TASKS

  • Review and audit documents for completeness, signatures, and initials; identify missing docs.

  • Obtain missing documents and secure signatures/initials per broker guidance.

  • Transition MLS listing status to pending or under contract per listing agreement (seller side).*

  • Develop and maintain a dynamic transaction calendar for broker and client reference.

  • Upload fully executed documents to broker's compliance system.*

  • Send introductory emails to the title company, lender, co-op broker, and client (with contract documents)

  • Make a welcome call to buyer/seller to clarify our role and available support during the transaction

  • Confirm parties know how and when to submit TOM Fee and Earnest Money.

CONTRACT MANAGEMENT

  • Request and distribute TOM and EM receipts

  • Ensure inspection appointments are scheduled and coordinate property access.

  • Seller side: order HOA/COA documents, provide to buyer's broker upon receipt and ensure completion of required signatures.

  • Buyer side: Oversee the receipt of HOA/COA docs by buyer for review and signing.

  • Provider reminders to buyer/seller/brokers for contingency deadlines; track and follow-up

  • Prepare amendments under broker direction.

  • Connect buyer with a utility concierge and home warranty company.*

  • Request receipts, invoices, and pictures for ORR repairs

  • Submit invoices to title for payment at closing

  • Maintain communication with the title company, checking in every 7-10 days.

  • Obtain updates from the Lender, every 7-10 days, for buyer-side transactions.

PRE-CLOSING

  • Remind broker to consider a closing gift for their client.

  • Assist with scheduling final walk-through and access to the property

  • Assist with scheduling signing appointment.

  • Assist with transfer of warranties and service contracts.

  • Remind parties to address utility transfer and insurance procurement.

  • Create CDA and submit to title upon broker's approval.*

  • Remind broker to prepare keys for transfer or arrange pick-up of keys.

  • Remind broker to schedule for removal of lockbox and sign.

  • Act as a "second set of eyes" to review the preliminary settlement statement to verify deposits, credits, commissions, and payment of invoices.

POST CLOSING

  • Collect final settlement statements and recorded deed.

  • Submit completed documents to brokerage compliance system*

  • Set listing status to sold in MLS for seller-side transactions and ensure MLS closure for buyers.

  • Solicit client feedback and a review (with broker's approval) and express gratitude or congratulations accordingly.

- The fee for this package is payable when the transaction closes.

- In the event of termination, there is no termination fee. 

- Broker is responsible for all negotiations and must provide language for amendments we write.

- We will set up signings, but we will not send them withthe broker will be the one to "send" it out to clients.

Listing Management

Once you’ve secured the listing, it’s time to pass on the paperwork to us. We’ll help prepare your listing to launch on the MLS and handle all the administrative work.

LISTING COORDINATION PACKAGE

  • Review and audit documents for completeness, signatures, and initials; identify missing documents.

  • Obtain missing documents and secure signatures/initials per broker guidance.

  • Upload fully executed documents to broker's compliance system.*

  • Send introductory email to the seller.

  • Initiate a welcome call to the seller to clarify our role and available support during the listing preparation.

  • Request "Seller Homework" (utility averages, rental history, major repairs/updates).

  • Schedule property photography with the broker's preferred vendor.

  • Schedule property video with the broker's preferred vendor.

  • Request septic permit from the state (when applicable).

  • Search for well documents (when applicable).

  • Write property description.

  • Remind broker to schedule lockbox and sign installation.

  • Input listing into MLS (broker will be responsible for setting it to live).

  • Add associated documents to MLS listing.

  • Enter listing into Showing Time (if broker utilizes).

  • Send MLS sheet to agent and seller.

  • Verify listing on Zillow.

  • Enhance listing on Realtor.com.

  • Prepare amendments under broker direction.

  • Process amendments for launch date changes, price changes, and extensions.

  • Set-up and send Listing Agreement & Info Sheets for signing (upon Client’s review and approval)

  • Set-up a transaction in the Broker’s System of Record

  • Draft the Purchase Agreement (per information provided by Client)

  • Draft Counter Offers at Client’s direction

  • Set-up and send Offer & Counter Offer signings (upon Client’s review and approval)

  • Audit, separate, save signed documents to Broker’s System of Record

 

Referral Related Tasks

  • Prepare outgoing referral agreements

  • Locate + interview referral partners

  • Track and manage your incoming & outgoing referrals

  • Organize + update your client database management system

 

Customized Services

- Administrative services are billed hourly; blocks of hours are purchased before services are rendered. There are no refunds and hours purchased expire after 90-days if not used.
